RECOMMENDED MOTION:

Move the board adopt Resolution and Order No. 04-24-086 of the Edwards Aquifer Authority Board of Directors approving the purchase of three Ford F-150 trucks, with accessories, using the Texas SmartBuy Membership Program, in an amount not to exceed $138,040.50.


SUMMARY:

The purpose of this agenda item is for the board to consider a Finance/Administrative Committee recommendation to approve the purchase of three Ford F-150 trucks, with accessories, in an amount not to exceed $138,040.50.

Historically, the EAA has purchased vehicles with the intention of replacing the vehicle after 8 - 10 years of service or 100,000 miles driven. To purchase the replacement vehicles, EAA staff proposes to use the Texas SmartBuy Membership Program (Texas SmartBuy). Texas SmartBuy is a cooperative purchasing program organized by the Texas Comptroller designed to offer access to competitively bid statewide contracts to local governments. The EAA, as a special district, is considered to be a local government and is eligible to participate in Texas SmartBuy. EAA staff proposes to use Texas SmartBuy Contract No. 070-M1 for Fleet Trucks, Automobiles and Law Enforcement Vehicles for the purchase of three replacement vehicles. Contracts made available on Texas SmartBuy have been competitively bid and are available for EAA use without the need for a formal procurement process to be conducted by the EAA.

The following vehicles meet the replacement age and/or high mileage criteria and are incurring increased repair/maintenance costs. If approved by the board and upon the arrival of the replacement vehicles, EAA staff will request surplus of the current in-use fleet assets.
