STAFF RECOMMENDED MOTION:
Move the Executive Committee ratify 2022 conference expenses for former EAA Director Luana Buckner.
SUMMARY:
The purpose of this agenda item is for EAA staff to seek ratification of 2022 conference expenses for former Director Luana Buckner. Under EAA Bylaws, each director may seek reimbursement of conference registration fees, lodging, and mileage expenses to attend conferences in an annual amount not to exceed $1,500. Additional conference expenses require approval from the Executive Committee. Director Buckner only attended two conferences in 2022; however, due to increases in hotel costs associated with the Texas Water Conservation Association conferences, her reimbursement requests exceeded the $1,500 annual total allowed under the bylaws. In total, Director Buckner's expenses for registration, lodging, and mileage was $1,977.31. All lodging was associated with the conference venue and registrations represented member discounts. Therefore, since Director Buckner has retired from the EAA Board of Directors, EAA staff is seeking ratification of the expense that exceeded the bylaw limit. In addition, in order to recognize rising costs associated with conferences and to continue to offer directors the ability to attend two conferences per year, so long as the subject matter is directly related to the business of the EAA and the director's presence is likely to further the public interest, staff will discuss the potential of a bylaw amendment increasing the reimbursement amount for directors at the next Finance Committee meeting.
